Job Description

Office Services Assistant   

Due to growth of the firm, this premier 
​midtown ​

Financial services leader seeks an exceptional individual to join their Office Services team. 

In this role, you will be responsible for the following: 

-Initiate building management work order requests via building electronic tenant handbook 

-Maintain office supply inventory 

-Maintain departmental databases 

-Maintain office equipment 

-Facilitate office/staff moves 

-Asset tagging / logging technology equipment 

-Manage vendors while on site 

-Sort and distribute newspapers 

-Stock pantry supplies, including weekly inventory 

-Sort mail and deliver it to employees 

-Arrange delivery of outgoing courier parcels 

-Stamp postage on outgoing mail 

-Pick up P.O. box mail 

-Process overnight shipments via UPS and FedEx 

-Production of marketing materials 

-Binding of Presentation packages 

-Electronic scanning of company vital records 

-Produce and prepare annual client documents for shipment 

-Supervise vital record destruction vendors 

-Maintain copier equipment and supplies 


-Minimum of 3-5 years of experience 

-Familiarity with basic mailing procedures, English and basic math 

-Ability to lift 30-50 lbs on a continuous basis (mail bags, cases of soda, furniture, storage boxes, copy paper, etc). 

-Professional attitude and appearance 

-Organizational skills 

-Ability to work under pressure to meet deadlines 

-Solid Microsoft office Skills: Word and Excel. (must be able to input data and format) 

-Good communication skills
