Internal Responsibilities:



 Customer Purchasing Interface and Coordination



o  Proposal Development



●  Point of Contact for assigned Proposals


 Track and Deliver Questions/Answers for Butler/Customer


 Work with Vice President on Engineering Subject Matter Expert for Quote


 Drive schedule for internal quote delivery including:



o  Hours to Execute


o  Engineering Exceptions


o  Engineering Assumption



 Submit Proposal to appropriate customer required location (System, E-mail, etc.)



o  Purchase Order Maintenance



●  Execution Date Extensions


●  Funding Tracking and Update Requests



o  Purchase Order Review and Acceptance



●  Review for compliance to Proposal(s)


●  Collect internal approval signatures


●  Ensure deliver to customer as required


●  Maintain Archieve of Active and InActive Purchase Orders



 Project Maintenance



o  Project Setup


o  Project Tracking


o  Employee Assignments


o  Project Costing and Spend Reporting



 Invoice Validation



o  Validate Invoicing reflects weekly timecard actuals


o  Work with Payroll and Invoicing Administration on corrective actions to invoicing and time cards



 Customer Maintenance



o  Interface with and understand customer project requirements to ensure proper project invoicing


o  Interface with Engineering Leads and Project Managers to ensure projects meet execution requirements



 Reporting and Metrics



o  Coordinate Monthly Purchase Order metric data for submittal to customer


o  Track Proposal Wins/Losses


o  Maintain active Purchase Order spend and Delivery Dates Report (Vice President Weekly Review)


o  Provide supporting data for customer required metrics (KPI)





Job Requirements

Soft Skills:

o  Strong written and verbal communication across all levels of the organization and customer base


o  Strong business operations and financial acumen


o  Able to multi task and change focus quickly to meet business direction changes


o  Work independent and develop reporting rhythm with Vice President




Computer Skill:


o  Must be proficient in Microsoft Word


o  Must be proficient in Microsoft Excel with emphasis on equations, data analysis, and pivot tables


Min years of experience: (3-5 years of experience with focus on responsibilities listed above)


Degree Requirements:  Business, Engineering or Technical degree preferred or equivalent experience required
